Best email provider for startups

The best email provider for a startup is the one priced for your stage: founder@yourstartup.com plus every role address, one flat price, set up in minutes.

A startup needs email on its own domain from day one, and it needs the bill to stay flat while the team, the role addresses and the pivots pile up. That rules out per-seat pricing, which is where most startup email advice goes wrong.

The short answer

Pick a provider that charges one flat price for the whole company, not per person. A startup adds addresses faster than it adds salaries: founders, first hires, contractors, advisors, plus hello@, jobs@, press@, investors@ and support@. On a per-user plan every one of those is a seat. Faivelo is $6 a month for unlimited mailboxes on your domain, with the DNS, spam filtering and email authentication done for you. Start on a free trial with no card, and the address you send from at seed is the address you keep at Series B.

Why startups should never pay per seat for email

Per-user email was designed for companies with a fixed headcount and an IT budget. A startup is the opposite. You add a contractor for six weeks, an advisor who wants a company address, an intern, a co-founder who leaves. Each change on a per-seat plan is a billing event, and each role address is another seat you forget to cancel.

The math is not close. Five people and four role addresses on Google Workspace is nine seats at $7, so $63 a month and $756 a year, before anyone else joins. The same company on Faivelo is $6 a month, or $60 for the year paid once. We priced it that way on purpose. We are a startup too, we know what runway math looks like, and we would rather be the line item you never think about.

What a startup actually needs from email

First, your own domain. Investors, customers and journalists read founder@yourstartup.com differently from a Gmail address, and the domain is the one asset that survives a rename, a pivot or a change of provider. Second, deliverability from the first send. Your first outreach campaign from a domain with no DKIM lands in spam, so the provider must configure SPF, DKIM and DMARC automatically. Third, no lock-in: standard IMAP and SMTP, so any mail app on any phone works and moving later is a copy, not a rebuild.

What you do not need is the enterprise bundle. Office suites, admin consoles and compliance tiers are priced into per-seat plans whether or not two founders use them. Buy email that does email properly, and add the rest when there is someone to use it.

Email that grows with the company, on the same domain

The provider you choose at the start decides how many vendors you carry later. On Faivelo the same account and domain handle the product's transactional mail, the launch newsletter and, on Growth, an AI agent that reads support@ over MCP. That is signup emails, campaigns and the support inbox on one bill instead of three, with one DNS setup instead of three.

Adding a hire takes thirty seconds: type the address, send them the login. Removing one takes a click and changes nothing on the invoice. Add a second product on its own domain and it lives in the same account. Nobody on the team has to become the email admin, which at a startup is the founder.

FAQs

What is the best email provider for a startup?

One that charges a flat price for unlimited mailboxes on your own domain and handles DNS and authentication for you. Faivelo is $6 a month flat. Per-seat providers such as Google Workspace get expensive as soon as you add role addresses and contractors.

Should a startup use Gmail or a custom domain?

A custom domain. It is what investors, customers and press expect, it keeps your addresses when you change provider, and it costs $10 to $15 a year for the domain plus a flat $6 a month for the mailboxes.

How much should a startup pay for email?

A flat $6 a month covers a whole startup on Faivelo, or $60 a year paid once. Ten seats on Google Workspace or Microsoft 365 cost $60 to $70 every month.

Can I give contractors and advisors a company email address?

Yes. On a flat plan every extra address is free, so contractors, advisors and interns get a real mailbox and lose it when they leave with no change to the bill.

What happens when the startup grows?

Nothing you have to redo. Mailboxes stay unlimited on every plan. Move to Growth at $12 for 200 GB, unlimited domains, calendar and MCP for AI agents when you need them, and to Pro for more storage and sending.
