Best email providers for nonprofits

The best email providers for nonprofits and charities: what the Google and Microsoft grants really require, and the flat-price option that covers staff, volunteers and every role address for $6 a month.

A nonprofit needs email on its own domain for staff, board, volunteers and the addresses donors write to, and it needs the cost to stay predictable when the volunteer roster changes every month. The right provider depends on whether you qualify for a grant program and how much admin you can carry.

The short answer

If you are a registered charity that qualifies for Google Workspace for Nonprofits or the Microsoft nonprofit grant, and you have someone to run the admin console, take the grant. If you are a small nonprofit, a community group, a club, an association or a charity still waiting on validation, pick a flat-price host: Faivelo is $6 a month for unlimited mailboxes on your domain, with no application, no eligibility check and no per-user bill when the volunteers change. The DNS and email authentication are done for you, so donate@, volunteer@ and info@ reach the inbox instead of spam.

What the free nonprofit email programs actually require

Google and Microsoft both offer free or heavily discounted seats to nonprofits, and for the organizations that qualify they are excellent value. The catch is the word qualify. You need recognized charity status in a country the program covers, validation through a partner such as TechSoup or Percent, and a wait that is usually a few weeks. Schools, government bodies, most religious congregations, political groups, and community organizations without formal registration are often excluded.

Then someone has to be the administrator. Grant seats come with an admin console, licence assignment, security defaults and a renewal validation every few years. In a nonprofit that person is usually a volunteer, and when they move on, the knowledge goes with them. Many small charities end up paying a consultant to keep a free product working.

Why a flat price fits a nonprofit better than free seats

Nonprofits add addresses faster than any business. Every board member, committee chair, event lead and seasonal volunteer wants a real address on the organization's domain, and donors write to donate@, volunteer@, info@, press@ and treasurer@. On a per-user plan every one of those is a seat, or a workaround someone has to maintain. On a flat plan they are free, and removing a volunteer in October changes nothing on the bill.

We do not run a nonprofit discount program with a form and a waiting list, because $6 a month for the whole organization already fits the budget of a two-person charity. Everyone pays the same price, so there is nothing to apply for, nothing to re-validate, and nothing that gets more expensive when your grant status lapses or your headcount crosses a threshold. Paid yearly it is $60, one line on the annual accounts.

What a nonprofit should check before choosing an email provider

First, deliverability. Appeal letters and newsletters from a domain without SPF, DKIM and DMARC go to spam, and a nonprofit cannot afford to lose a donor's reply. The provider should place those records for you. Second, ease for non-technical people. Volunteers will use whatever mail app is already on their phone, so you want standard IMAP and SMTP, a simple webmail, and a setup a volunteer can finish in an evening without an IT background.

Third, what happens on the same domain later. The organization will want a newsletter, receipts for donations, event confirmations and maybe an AI assistant that answers the info@ inbox. Choosing a host that does those on the same account and domain saves adding a vendor for each. Finally, no lock-in, so if you do qualify for a grant next year, moving is a copy of the mailboxes and a DNS change, not a rebuild.

FAQs

What is the best email provider for a nonprofit?

For registered charities that qualify and have an administrator, Google Workspace for Nonprofits or the Microsoft grant. For small nonprofits, community groups and charities that do not qualify or are waiting on validation, a flat-price host such as Faivelo at $6 a month for unlimited mailboxes.

Is Google Workspace free for nonprofits?

The Nonprofits edition is free for eligible organizations, with recognized charity status, validation through a partner such as TechSoup, and a waiting period. Schools, government bodies and unregistered community groups are generally not eligible.

Do nonprofits get a discount on Faivelo?

Everyone pays the same $6 a month, or $60 a year, for unlimited mailboxes. There is no discount program because the flat price already fits a small nonprofit's budget, and there is nothing to apply for or re-validate.

Can volunteers and board members have an email address on our domain?

Yes. On a flat plan every extra mailbox is free, so volunteers, board members and committee chairs get a real address and lose it when they move on with no change to the bill.

Can a nonprofit send newsletters and donation receipts from the same email provider?

On Faivelo, yes. Campaign email for newsletters and transactional email for receipts and confirmations run on the same account and domain on the Growth plan at $12 a month.
