The short answer

For one person, Zoho Mail at $1 a month is the cheapest reliable mailbox and Fastmail is the nicest. For a business with more than a handful of addresses, a flat-price host wins on cost every year you exist: Faivelo is $6 a month for unlimited mailboxes. If you need Docs or Teams, Google Workspace and Microsoft 365 are worth their per-user price. If encryption is a requirement, Proton. Everything below is the evidence.

What "business email" means, and what to judge providers on

A business email provider hosts mailboxes at a domain you own. Instead of anna.keller88@gmail.com you are anna@kellerstudio.com, the address is yours to keep, and role addresses like hello@ and support@ exist. All eight providers here do that well. The interesting differences are elsewhere.

  • Pricing model. Per user or flat. This is the biggest difference on the page and the one most comparison articles skip. It decides your bill in year two, not just today.
  • Storage. Per-user quotas versus a pool you can spread. A 5 GB mailbox fills in a year of attachments.
  • Deliverability setup. SPF, DKIM and DMARC decide whether your mail lands in inboxes. Some hosts set them for you; most hand you a tutorial.
  • Setup effort. Automatic DNS at your registrar versus copying records by hand. The first takes seconds; the second is where people give up.
  • Apps and protocols. Standard IMAP and SMTP mean any mail app works. App-only access means you use theirs.
  • What else is in the box. Calendar, contacts, documents, meetings, newsletters, API sending, booking pages. Worth paying for only if you would otherwise buy them separately.

Two honest readings of that table. First: for exactly one mailbox, Zoho, Neo, Titan and Fastmail are all cheaper than any flat plan. If you are certain you will stay at one, pick on features. Second: the crossover comes early. Faivelo passes Zoho at six mailboxes, Titan at three, and Google or Microsoft at one. Most businesses have a personal address plus hello@ within their first month.

Verdict. The right choice when the office suite is the point. If email is the point, you are paying for Docs on every address.

Verdict. For one person who wants the lowest price, Zoho is hard to beat. At six users the flat-price hosts cross it and keep going.

Verdict. If encryption is a requirement rather than a preference, Proton is the answer. Otherwise you are paying a premium for a feature most correspondents cannot use.

Security and deliverability: what actually differs

Every provider on this list encrypts mail in transit with TLS, stores it encrypted at rest, offers two-factor authentication and filters spam. Those are table stakes and not a reason to choose. Three things do differ.

Who sets up authentication. SPF, DKIM and DMARC are what keep your mail out of spam and stop others sending as you. Google, Microsoft, Zoho, Fastmail and Proton all support them. All of them ask you to paste the records yourself. Most small businesses skip the DMARC step, because nobody makes them do it. Faivelo places all three at your registrar automatically and verifies them.

End-to-end encryption. Only Proton encrypts the message body so that even the provider cannot read it, and only between Proton users or with a password-protected link. For most businesses, TLS plus encryption at rest is the practical standard.

Sending limits and reputation. All providers cap daily sends from a mailbox to protect their reputation (Gmail around 2,000 a day per user, Microsoft 10,000 recipients a day). For newsletters you need a separate tool on most of them, or Faivelo's built-in campaigns with their own rate controls.

The three records every provider needs. The question is only whether you paste them or the host does.
